EngaTargeting small to medium-sized companies across multiple industries, Certiflex Dimension (Certiflex) 8.0 from The Versatile Group (800-237-8435; www.certiflex dimension.com) delivers a core set of accounting modules plus vertical market applications. Certiflex supports up to 50 simultaneous users and requires a dedi-cated file server.

The General Ledger (GL) offers up to 12 characters with up to three segments. Statistical accounts are supported. One nice feature is assigning Quick Key codes to frequently used account numbers, such as ‘C’ for Cash and ‘I’ for Inventory. GL supports original and revised budgets and also tracks adjustments. You can copy a budget amount to all periods, prorate it to periods, or define a budget as a percentage of another budget. Budget amounts can be imported from a spreadsheet. Financial statements are defined independent of the chart of accounts using a formatter (not drop-and-drag WYSIWYG). Finally, GL consolidates any number of entities with identical charts of accounts.

Accounts Receivable (AR) delivers typical capabilities, plus the ability to run statements for any of up to 256 statement cycles or for any of 97 different customer classes. Invoices can be e-mailed and faxed. The Aged Receivables report includes expected cash receipts for the next four weeks. Accounts Payable (AP) mirrors AR. It also supports percentage retainage as well as recurring payables with set due dates, end dates and a set number of recurrences. Vendor invoices can be selected by due date, discounts available through a certain date, or all. MICR checks with digital logo and signatures are supported. Payables Analysis includes a breakdown of cash needed to pay vendors (a week at a time). It can be based on unpaid vendor invoices and purchase orders, or separate reports can be printed.

Inventory supports multiple locations, bar codes, up to 28-character item numbers with three segments, up to four alternate items per inventory item, kits, an image for each item, and more. The module supports all standard valuation methods. Sales codes and purchase codes can be defined for analyses. Purchase and sales units of measures automatically convert, including automatic price adjustment. Up to 10 alternative selling units of measures can be defined. All stock movements are tracked in and out of inventory. Inventory automatically alerts the proper person when items are low or out. A variety of pricing options are available.

Order Entry (OE) offers timesaving options such as copying all or part of an order to a new one, automatic retainage for Job Cost users, customer credit check and scanning products. You can also import customer orders and quotes. Discounts can be applied to an entire order or to line items. Also, the cost of sales for each line item is calculated. Available inventory lookups include on-hand, on-order, back-ordered and backlog inventory. Orders, acknowledgments and shipping notifications can be faxed or e-mailed.

Commission rates may be applied to an entire order or to line items. Calculation can be on net sale or gross margin. Certiflex supports paying commissions on booked orders or paid invoices. Commissions can be split among up to three sales reps plus an override for a sales manager.

Purchase Orders tracks multiple purchasing agents within your company (individuals or departments). You can add special instructions to purchase orders, as well as e-mail purchase orders to vendors.

Certiflex offers a good set of reports plus customizable graphs. Reports can be stacked to print, but you cannot set filters for each report. Certiflex uses the settings previously saved for the report. Reports can be scheduled to print on a certain date. Output options include e-mail and export to *.RTF and text file formats. Data can also be exported in variable or fixed length file formats. A WYSIWYG form editor is built-in. The only report writer is the financial statement formatting tool.

Certiflex includes user-defined business alerts that monitor values, flags, conditions, etc., then notify you of a changed situation in a message window. E-mail notification is not available.

Menu navigation utilizes a series of module buttons that expand to display submenus. Screens, reports and so on display on the right. The same menu items display on drop-downs in the menu bar. A favorites list can contain up to 20 frequently used menu shortcut buttons. A number of data-entry features can be customized for each user. A right-click menu is available for all fields. Record search options include changing the sort key, text string search, and exact or partial value searching of fields. Custom fields called Memos and links to web sites and files can be added to records.

Help files are module- specific. This makes it diffi-cult to cross-reference information in other modules. Topics are virtually the same as the content in the man- uals, which is very good overall, though more examples and screen shots would improve both Help and the manuals. *.PDF versions of the manuals are not available. Overall, Certiflex is a good system that depends mostly on reports for information, decision making and subsequent action. This software has a long and solid track record.
